Our client is seeking a dedicated and reliable Permanent Part-Time Scheduler to support accurate and efficient staff scheduling across assigned departments. Working within a collaborative team environment, the Scheduler ensures appropriate staffing coverage by applying collective agreement provisions, organizational policies, and operational priorities to support continuity of operations.
This role is ideal for someone who is highly organized, confident with technology, and comfortable working independently while communicating clearly with staff, managers, and payroll.
What will you be doing?
- Act as the organization’s subject-matter expert and super-user for the scheduling software
- Provide orientation and support to staff and leaders involved in scheduling processes
- Develop and post work schedules for assigned departments
- Post availability schedules and maintain schedule accuracy
- Coordinate daily staffing needs by calling in replacement and/or additional staff
- Record shift changes and update schedules accordingly
- Develop and maintain vacation schedules
- Ensure scheduling accuracy for payroll purposes by recording and coding shifts correctly, documenting overtime, and allocating shifts to appropriate departments or cost centres
- Notify payroll of any corrections or errors in accordance with established processes
- Prioritize staffing decisions based on operational needs and collective agreement requirements
Must Haves
- Medical Office Administration Diploma or an equivalent combination of education and experience
- Previous scheduling experience, preferably using an automated scheduling and call-out system
- Strong computer skills and comfort learning new systems
- Proficiency with Microsoft Office, particularly Word and Excel
- Excellent verbal and written communication skills
- Strong interpersonal skills with professionalism, tact, and diplomacy
- Ability to work independently and apply critical thinking to problem-solving
- Strong time management skills with ability to manage competing priorities and deadlines
- High attention to detail and accuracy
- Ability to handle confidential information with discretion
- Reliable attendance and punctuality

- Experience interpreting and applying collective agreements
- Healthcare or complex scheduling environment experience
